Privacy Policy

Effective October 16, 2026 · Last updated October 16, 2026

1. Overview

This Privacy Policy explains what personal information Swift Filing Co. collects when you use our website and services, how we use and share it, and the choices you have. We collect only what we need to prepare, file and maintain your business filings.

2. Information we collect

  • Account and contact details: name, email address, phone number, and mailing address.
  • Business details: proposed company name, entity type, state or province of formation, principal and registered office addresses, and names, addresses and ownership percentages of members, managers, directors and officers.
  • Identity and tax information: where you purchase EIN or Business Number assistance, we collect the details a tax authority requires, which can include a Social Security number, ITIN or other taxpayer identifier.
  • Payment information: payments are processed by PayPal. Card and PayPal login details are entered with PayPal and we do not see or store them; we receive only limited details such as the transaction ID, amount, payer email and status.
  • Usage and device data: IP address, browser type, pages visited, referring pages and approximate location, collected through cookies and similar technologies.
  • Communications: messages you send us and records of our support interactions.

3. How we use your information

  • To prepare, submit and track your filings and deliver the services you order.
  • To process payments, prevent fraud and comply with legal obligations.
  • To send service messages such as order confirmations, status updates, and compliance deadline reminders.
  • To provide support and respond to your requests.
  • To improve, secure and analyze the performance of our website and services.
  • To send marketing emails about related services, where permitted. You can unsubscribe at any time using the link in any email.

4. Public records

Government registries make some formation information publicly available. Depending on the state or province, this can include your company name, registered agent, business address, and the names and addresses of members, managers, directors or organizers. Information filed with a registry becomes subject to that registry’s public record rules and we cannot remove it. Using our registered agent service lets you list our address instead of your own where the registry allows.

5. How we share information

We do not sell your personal information. We share it only with:

  • Government registries and tax authorities, to complete your filings and applications.
  • Service providers who work for us, such as PayPal (payments), our website form and email delivery service (FormSubmit), hosting providers, customer support tools and analytics providers, under confidentiality and data protection obligations.
  • Professional advisers, auditors and insurers where reasonably necessary.
  • Authorities or other parties where required by law, or to protect rights, safety or property.
  • A successor business in a merger, acquisition or sale of assets, with notice to you where required.

6. Cookies and similar technologies

We use cookies and similar tools to keep you signed in, remember preferences, measure traffic and improve our site. You can control cookies through your browser settings; blocking some cookies may affect how parts of the site work.

7. Data retention

We keep personal information for as long as needed to provide our services and meet legal, tax, accounting and regulatory requirements. Sensitive identifiers such as taxpayer numbers are retained only as long as needed to complete your application and are then deleted or securely masked, unless the law requires otherwise. After that period we delete or anonymize information.

8. Security

We use administrative, technical and physical safeguards, including encryption in transit and access controls, to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please use a strong, unique password and tell us promptly if you suspect unauthorized access.

9. Your choices and rights

Depending on where you live, you may have the right to access, correct, delete or obtain a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of California and other US states with privacy laws, and of Canada under PIPEDA and provincial laws, can exercise these rights by contacting us below. We will verify your identity before acting and respond within the time the law requires. We will not discriminate against you for exercising your rights. Some information, such as filings already submitted to a registry, cannot be deleted from public records.

10. International transfers

We are based in the United States and Canada and may process information in either country. If you access our services from elsewhere, your information may be transferred to and stored in these countries, which may have different data protection laws than your own.

11. Children’s privacy

Our services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has given us personal information, contact us and we will delete it.

12. Changes to this policy

We may update this Privacy Policy. We will post the revised version with a new effective date and, for material changes, notify you by email or through the site.
